Urban Sports Club integration

Urban Sports Club bookings, in the schedule you already run

Your classes reach Urban Sports Club on their own, and the bookings come back into the same class as everyone else's: same capacity, same register, same coach. No second tab open all day and no spreadsheet to reconcile at the end of the month.

Two systems for the same class

Urban Sports Club fills places you had sitting empty. The expensive part isn't those people — it's keeping their places somewhere other than where you keep everything else.

Two capacities that never talk

You set places aside for the provider by eye, and then there are too many or too few. The class ends up half empty, or with more people at the door than fit inside.

The register is never complete

The coach opens up without knowing who's coming from outside, and those people's attendance goes in a notebook — or nowhere at all.

Every change has to be made twice

You move Tuesday's pilates and have to remember to move it out there too. The day you forget, somebody turns up to a class that no longer exists.

Urban Sports Club sees the places left

Every booking and cancellation updates the count over there — your members' included.

Already built in

An integration that doesn't give you work

It speaks to Urban Sports Club's partner API, so what happens in your schedule happens over there too.

One capacity, one register

Urban Sports Club's places come out of the same allowance as your members', and every booking and cancellation — whoever makes it — updates the free places shown over there. If the class fills up, it closes for everyone.

Your classes publish themselves

The next fortnight's classes go up to Urban Sports Club as soon as they exist, with your coach and their usual name. Create one on Thursday afternoon and it's already there, with nothing to register by hand.

A cap on partner places

Set a maximum number of places for outside providers on a single class or across your weekly pattern — if you work with Wellhub as well, the cap counts both together. Leave it blank and they can book any free place.

Changes travel — cancellations too

Move a class to another time and its old slot comes down from Urban Sports Club while the new one goes up. Change the coach, the name or the length and it's updated. And if you cancel it, it's cancelled over there too.

Check-in arrives on its own

The member checks in with their Urban Sports Club app, the same as at any venue on the network, and lands as attended on your register — no notebooks and no separate app at reception.

Every visit leaves a trace

Anyone arriving through Urban Sports Club gets a record in your gym: their name, which classes they come to and how many times they've been. The history builds itself, visit by visit.

You choose which classes go into Urban Sports Club

Nothing goes up until you say so. You tick the session types you want to offer and the slots in your weekly pattern that go with them, and pick the category they'll be found under. Each class goes out with the name and description your own members already see — and with no description, it doesn't go out. Your small classes, your advanced ones and personal training stay for your own members if that's what you want.

And the capacity stays yours: if a class is full, it's closed to everyone.

Urban Sports Club brings you people. Keeping them is up to you.

Every booking leaves something behind: who came, to which class, and how often. When somebody has been turning up on Tuesdays for a month, you see it on the same screen as your members — and you know who to talk to about a membership the next time they walk through the door.

Payment for that booking stays between Urban Sports Club and your agreement with them: no Orlo payment goes through it.

Questions, answered

Do I have to register every class in Urban Sports Club?
No. You tick the session types you want to offer once, and from then on each class in your schedule goes up on its own inside the booking window. A nightly check confirms everything is in place.
Can I limit how many places Urban Sports Club takes?
Yes. Each class takes a cap on places for outside providers, and you can set it on the weekly pattern so it applies to every class in that slot. Leave it blank and they can book any free place.
What happens when a class fills up?
Every booking and cancellation — wherever it comes from — updates the free places Urban Sports Club shows, so a full class shows as full and stops taking bookings. And the other way round: if somebody cancels and a place opens up, it's available over there again.
What if I move or cancel a class?
Move it to another time and its old slot is taken down from Urban Sports Club while the new one is published. Change the coach, the name or the length and it's updated. And if you cancel it, it's cancelled over there too — nobody books a class that no longer exists.
How is attendance recorded?
The member checks in with their Urban Sports Club app, the same as at any venue on the network, and lands as attended on the class register — the same screen where you tick off everyone else. And if you need to, you can always mark them by hand.
Does Orlo charge me for these bookings?
No payment goes through Orlo for an Urban Sports Club booking — that's between Urban Sports Club and you, under your agreement with them. The integration is included in your subscription at no extra cost.
Does it work with Wellhub too?
Yes. Wellhub has its own integration and behaves the same way: same classes, same capacity, same register. The cap on partner places counts both together.
What do I need to get started?
Your partner agreement with Urban Sports Club, and a message to tell us you want it. We connect the two sides; you just choose which session types go in, under which category and with which description.
