Switch Claude and ChatGPT on for your team, give people the permission, and connect each app to your gym.
Needs the Manage site builder permission.
Claude and ChatGPT can read your gym in Orlo and make changes for you, as you, with the same permissions you have in the dashboard. Getting there takes three things, in this order: the owner switches it on for the gym, the owner gives each person a permission, and each person connects their own app.
All of it starts on one page: open Settings in the sidebar and go to the Connect AI tab. The tab is only there when your Orlo plan includes the AI assistant and Orlo has switched Claude and ChatGPT on for your gym.
Connecting Claude or ChatGPT sends your clients’ data to that AI provider, so only the gym’s owner can allow it, once for the whole team.
That box is a promise, not a formality. Use Claude or ChatGPT under a business plan whose terms include a data processing agreement, such as a Team or Enterprise plan. A personal or consumer plan is not enough, even with model training switched off.
The section then says Switched on for your team, with who agreed and when. Anyone else on the team sees the same, without the buttons.
Nobody can connect yet, the owner included. Each person needs the Use Claude and ChatGPT permission, which is off for every role by default and which only the owner can tick. They also need Use the agent.
Both are ticked where every other permission is, as in “Give a colleague access to Orlo”. Until someone has them, the Connect AI tab lists what is missing under Before you can connect.
Copy Your Orlo address from the Connect AI tab. It is your gym’s own
dashboard address, ending in /mcp. Then:
/mcp in Claude Code and choose orlo. Each person connects with their own Orlo account. A shared login would mean every change carries the wrong name.
Connecting opens Orlo in the browser. Sign in if you are asked, and you reach a screen headed “Connect Claude to” your gym (or ChatGPT). It says who you are signed in as, where you will be sent back to, and what the app will receive: classes, bookings, attendance, payments, training records and the website, with each client named with their Orlo id. Never your clients’ email addresses, phone numbers or answers to the health questionnaire.
Tick the box to confirm the account you are connecting is on a business plan, and select Allow. Cancel connects nothing.
Then try asking it: “Using Orlo, which classes are on this week and how full are they?”
Claude and ChatGPT tell you what a change will do — which classes, which clients, which page, from what to what — and only make it once you say yes. An email to clients is shown with its subject, its text and how many people it goes to before anything is sent.
Claude may also ask your permission each time it uses one of Orlo’s tools. In the connector’s settings you can let it use the tools that only read without asking, and leave the ones that change things asking.
What they can and cannot do is in “What Claude and ChatGPT can do in Orlo”.
Training notes reach Claude and ChatGPT like the rest of a client’s training. If one mentions an injury or anything medical, tick Sensitive — keep out of AI tools on it and it stays in Orlo. Answers in the Injuries & health section never reach them.
