What Claude and ChatGPT can do in Orlo

What you can ask Claude and ChatGPT to look up and change at your gym, what waits for Publish, and what they cannot do.

Needs the Use Claude and ChatGPT permission.

Once you are connected, Claude and ChatGPT work as you: they can see and change what your own permissions let you see and change in the dashboard, and nothing more. If you could not do something in the dashboard, they will say so rather than do it.

They show you every change before making it, and make it only when you say yes.

Classes and the timetable

  • “Which classes are on this week, and how full are they?”
  • “Who cancelled Thursday’s 7pm spin, and when?”
  • “Which time slots filled worst last month?”
  • “Add a Pilates class every Tuesday at 18:00 for the next eight weeks, in Room 1, with Tati.”
  • “Make Tati the trainer of every Pilates class without one.”
  • “Move every Saturday class half an hour later.” They ask whether to email the people booked before moving anything.
  • “Make Wednesday’s open class free” — one class’s name, description, price, length, picture or workout.
  • “Cancel tomorrow’s 9am yoga.” They ask whether to email the people booked.
  • “Put back the spin I cancelled by mistake.”
  • “Add a room called Studio 2 that holds one class at a time.”

Classes that have already happened cannot be cancelled, moved or changed.

Bookings

  • “Book Ana onto every Tuesday Pilates in November.”
  • “Book Pablo, who is on a trial, onto Friday’s 7am.”
  • “Cancel Marc’s classes next week.”
  • “Cancel everyone on Sunday’s 10am.”

A booking uses a membership, a pack or a trial as it would from the timetable, or is made for free if you ask. A late cancellation that carries a fee is shown with the fee, and is only cancelled if you agree to it.

Clients

  • “Who has not been in for three weeks?”
  • “How is Ana’s squat going, and has she been coming?”
  • “What have clients said about their progress this month?”
  • “Add Laura as a client and send her a link to set her password.”
  • “Assign every client of Marc’s who joined this month to Tati.”
  • “Who owes us money?”
  • “Why was Ana charged that amount in October?”

Memberships, packs and prices

  • “What memberships and packs do we sell, and how many people hold each?”
  • “Create a ten-class pack for €95, valid for three months.”
  • “Put the monthly unlimited up to €70.” The preview says who the new price reaches: people already on a membership stay on the price they bought it at.
  • “Archive the summer membership.”
  • “Move everyone on Eight a month to Twelve a month at their next renewal.”
  • “Start Ana on Unlimited from the 1st, paying cash.”
  • “Give Ana until the 30th to use her pack.”
  • “Add a new service for personal training”, “add a Barre session type”, or “add an exercise”.
  • “Make the joining fee free for the whole of January.”
  • “Use the Maintenance plan for pauses”, then “pause Ana’s membership from her next renewal” and, when she is back, “resume it”. A maintenance plan cannot include services, so a paused member books nothing. “Stop offering pauses” leaves the pauses already made as they are.

Messaging

  • “Email everyone booked on tonight’s 7pm that it starts at 7.15.” They show you the subject, the text and how many people it goes to before anything is sent. An email cannot be taken back.
  • “Write a campaign to lapsed members about our new timetable.” Left as a draft under Messaging if you would rather send it yourself.
  • “Draft a service notice about the new prices.” Service notices are only ever drafted; you send them from the dashboard.
  • “Change the button colour on our emails”, or “change the wording of the welcome email new clients get”.
  • “Show me the open enquiries”, and “mark the one from Marta as resolved”.

Website and blog

  • “Build a page about our reformer classes.”
  • “Rewrite the homepage introduction.”
  • “Change our green to a darker green everywhere on the website.”
  • “Use the logo in the media library as our favicon.”
  • “Add the timetable page to the menu, after Prices.”
  • “Make the menu bar stay at the top while people scroll.”
  • “Write a blog article about getting back into training after the summer.”
  • “Give the reformer photo better alt text.”
  • “How many people visited the website last month, and what did they search for on Google?”

Some of these are live as soon as you say yes, and some wait for you:

  • Live straight away: the website’s colours, the logo, favicon and other branding images, a page’s name in the dashboard, its sharing image, its place in the pages list or a copy of it, and an edit to a blog article that is already published.
  • Waits for Publish: a new or changed page, the menu, the menu bar’s layout, and a page’s switches for hiding the menu bar or footer and for search engines. Open the site builder to look it over and select Publish, or discard it.

Team

  • “Give Tati the title Head coach.”
  • “Put every coach on the website’s team page.”
  • “Invite Jordi to the dashboard.” A new member of staff can open the dashboard and nothing else; you tick what else they need yourself.

Settings

  • “Change our address”, “add our Instagram link”, or “change our legal name”.
  • “Ask the progress question every four weeks.”
  • “How do I export the client list?” They answer from these help articles.

What they cannot do

  • Refunds, or take money other than as the dashboard’s own forms do: the first payment when they start someone on a membership, the prorated difference when they move someone to a dearer plan now, and a late-cancellation fee you have agreed to. A booking that was paid for is not cancelled from here.
  • Delete clients, products, rooms, menu links or media. Products can be archived and menu links hidden instead.
  • Publish website changes or blog articles, or send a service notice.
  • See your clients’ email addresses, phone numbers or health answers, or change an email address or phone number. Clients are named by first name, last initial and Orlo id, such as “Ana G. (123)”.
  • Book or cancel Urban Sports Club or Wellhub members.
  • Give anyone a permission.
  • Upload files. Pictures come from your media library, so upload them there first.

When they cannot do something you asked, they can pass a note to Orlo’s team about it.
