Give a client a membership or a pack

Add a membership or a pack to a client yourself, and choose how they pay for it.

Needs the Manage payments permission.

Memberships and packs are both added from the client’s own page. The Subscriptions and Packs tabs list what already exists; nothing is created from them.

  1. Open Clients in the sidebar and open the client.
  2. Select Add product.
  3. Choose the product, choose how they are paying, and save.

Whether they end up with a membership or a pack is decided by the product, not by this form: a recurring product creates a membership, a one-off product creates a pack. The list holds every active product with its price, so anything missing from it is archived, or was never created — both of which are fixed under Products.

How they pay

  • Card — charges the card Orlo already holds for them. If there is no card, Stripe emails them an invoice instead, due in three days.
  • Cash — records the money as already collected. Active straight away.
  • Free — adds it without charging anything. Active straight away.

If your gym charges a registration fee, Include registration fee is ticked by default. It is only ever added for someone who has no other active membership, so nobody is charged it twice.

Paid by card, it is not active until Stripe is paid

A membership paid by Card is created as Pending, and only turns Active when Stripe confirms the money arrived. Until then it gives the client no allowance and they cannot book against it.

That is exactly what a card that fails looks like from the dashboard: the membership is there, it says Pending, and nothing else happens. It is waiting for a payment, not broken. When the client pays — or updates their card — from the invoice email Stripe sent them, or from their own client area, it activates itself.

If you would rather not depend on their card at all, add it as Cash.

Giving someone their plan again

A membership that reads Cancelled cannot be un-cancelled. Add the product again: the new membership starts its own billing period from today, whatever the old one had left on it. A membership that is only due to cancel at the end of a period it has already paid for is a different case, and that one can be resumed.

While a membership on the same product is still active, Orlo refuses to add a second one and says “User already has an active subscription”. To move someone between plans, edit the membership they already have rather than adding one.
