How Clients Check In (QR Code)
Every gym has a unique QR code (find it in Gym Settings) that clients can scan on arrival. Display this code clearly at your entrance or in your studio—clients just open the Orlo app, scan, and they’re instantly checked in.

How Staff Can Check In Clients
Trainers and admins can mark clients as present directly from the class page or the client’s profile. On the timetable, checked-in clients show a green tick for quick visual confirmation.
- If a client forgets to scan, staff can check them in with a single click.
- Manual check-in is perfect for small groups, older clients, or special events.
No-show Automation
Orlo’s no-show system runs in the background—if a client doesn’t check in (by QR or manually), the app:
- Sends an email reminder 30 minutes after the class begins, giving clients a last chance to confirm attendance.
- Applies an automatic no-show charge (if enabled) and deducts a session credit.
This automation helps you reduce lost revenue, encourage reliable attendance, and avoid awkward payment conversations.
