Late Fees & No-Show Charges
To keep your classes full and encourage clients to commit, Orlo lets you enable automatic late cancellation and no-show fees. These charges help reduce last-minute dropouts, ensure clients value their bookings, and boost your gym’s revenue by minimizing empty spaces.
How Late Cancellation Fees Work
If a client cancels their booking less than three hours before a class starts, they’re automatically charged a late cancellation fee. This fee encourages clients to give enough notice, so someone else on the waiting list has a chance to join.
- Set your fee amount in Gym Settings > Late Cancellation Fee.
- Fees are applied instantly—no manual work required.
- The charge is deducted from the client’s Stripe balance or included in their next bill.
How No-Show Fees Work
If a client fails to check in and hasn’t cancelled in advance, the system marks them as a no-show and applies a no-show fee. This helps prevent wasted spaces and builds a culture of reliability.
- Check-ins can be done by QR code or marked manually by staff.
- If no check-in is recorded by the session start, the client is considered absent.
- Set the fee amount in Gym Settings > No-Show Fee. Charges are handled through Stripe automatically.
Client Experience
- Clients receive timely reminder emails and links to check in, helping them avoid penalties.
- Every charge is transparent and visible in their billing history.
Summary
- Late cancellation fee: Charged if a booking is cancelled less than three hours before class.
- No-show fee: Charged if the client does not cancel and fails to check in.
- All charges are set up and managed in Gym Settings and processed automatically via Stripe.
- Works perfectly with the waiting list feature to keep every class as full as possible.
Automated fees help you run your gym more smoothly, increase attendance, and save time on manual admin—while building a fair and committed client culture.
