External booking providers
This guide is for gym owners and personal trainers using Orlo to streamline operations, engage clients, and grow their business.
Orlo automatically handles bookings and cancellations from third-party providers like ClassPass and Urban Sports Club. These services send booking emails to a unique address assigned to your gym when it's created.
How it works
You'll receive an email address that you can use exclusively for receiving booking and cancellation emails from external services. Orlo intelligently reads the email, works out which class it's for, finds or creates the client account and books them in. For cancellations, it removes the booking from the class.
When an email arrives:
- It's routed through our mail handler and matched to your gym using the inbound address.
- The system checks if the subject is relevant and then queues it for processing.
- Orlo finds the correct class, creates or cancels the booking, and marks it as an external booking.
Identifying bookings
Bookings from external providers have a little icon next to the client's name in the timetable. These clients don't need to check-in to Orlo, but if the provider requires check-ins, you'll need to follow their check-in process.
What you need to do
Nothing! Once your gym is set up, the email address is generated automatically and begins accepting emails. Configure your external provider to automatically send booking emails to that address.
Supported providers
This system currently supports providers that send clear booking confirmation emails, including:
- ClassPass
- Urban Sports Club
Additional platforms may also work, as long as the email contains the required information.
Managing capacity
Orlo can automatically send emails when classes are full so you can adjust your capacity with the external provider. This helps you manage overbookings and ensure a smooth experience for clients. Turn this email on for any user in their permissions.
