Late fees and no-show charges

This guide is for gym owners and personal trainers using Orlo to streamline operations, engage clients, and grow their business.

To help ensure your classes are full and encourage commitment from clients, you can enable late cancellation and no-show fees in your Gym Settings. These fees are automatically applied when a client cancels too late or fails to attend a class.

Late cancellation fee

If a client cancels less than 3 hours before the start of the class, they’ll be charged a late cancellation fee. This encourages clients to give enough time for slots to be re-booked by other clients. This works really well with a waiting list, as other clients will receive an email the moment they cancel.

You can set the amount in Gym Settings > Late cancellation fee. This charge is applied automatically and deducted from the client’s Stripe balance or included in their next bill.

No-show fee

If a client doesn't check in to a class and doesn’t cancel in advance, the system marks them as a no-show and applies the no-show fee.

Check-ins can happen either by scanning the QR code or being manually checked in by staff. If no check-in is recorded, the system assumes they didn’t attend.

You can set the fee amount in Gym Settings > No-show fee. The app will automatically charge the client through Stripe.
