Subscriptions

This guide is for gym owners and personal trainers using Orlo to streamline operations, engage clients, and grow their business.

Subscriptions give clients instant access to a predefined class allowance during the month. They're charged automatically via Stripe, and clients can cancel or change their subscription directly from their profile. Staff can also manage subscriptions on behalf of clients if needed.

How subscriptions work

  • Clients are billed automatically on a monthly basis.
  • Subscriptions are tied to one gym location and can include different perks or allowances depending on what you've configured in the subscription product.
  • Clients with an active subscription can book classes freely until their subscription expires or is cancelled.
  • When a subscription is cancelled, the client can still book classes until the last paid date. After that, they’ll need to buy a new plan to continue attending.

Creating subscriptions

Most of the time, clients create their own subscriptions by visiting your gym’s home page and choosing a plan. This is the easiest and most common way for subscriptions to be added—they’ll be created in Stripe and appear automatically in Orlo.

However, if you ever need to create a subscription manually on behalf of a client, you can do this in Stripe:

  1. Go to the client’s customer profile in Stripe.
  2. Click “Add subscription” and choose the correct product and billing interval.
  3. Save the subscription. It will appear in Orlo shortly after and grant access to bookings according to the client’s plan.

Changing subscriptions

Clients can manage their subscription from their profile:

  1. Log into the client area.
  2. Go to My Subscription.
  3. Click Cancel Subscription to stop auto-renewal. Their plan will remain active until the last day they’ve already paid for.
  4. If they change their mind, they can return to the same page and click Resume Subscription, as long as the subscription hasn’t fully ended yet.

Changing subscriptions on behalf of clients

Staff can manage a client’s subscription by visiting their profile page in the staff area. They can:

  • Cancel the subscription so it won’t renew (it stays active until the end of the billing period).
  • Uncancel a subscription if it’s still within the current period.
  • Open the subscription in Stripe for more options—like changing the billing date, cancelling immediately, switching plans, or applying discounts.

To modify a subscription in Stripe:

  1. Go to the client's profile in the staff dashboard.
  2. Click the dropdown at the top and select View on Stripe.
  3. In Stripe, use the available actions to pause, cancel, update dates, or edit pricing.
