Check-ins

This guide is for gym owners and personal trainers using Orlo to streamline operations, engage clients, and grow their business.

Check-ins help track which clients attended a class. This allows the system to apply no-show rules, monitor attendance, and keep class records accurate. Clients can check in themselves using a QR code, or staff can mark them as present manually.

Client check-in via QR code

You have a unique QR code that clients can scan when they arrive. You can find this code under Gym Settings. Display it somewhere visible near your entrance so clients can scan it easily.

When a client scans the code, the app records the date and time they checked in. This confirms their attendance and protects them from no-show charges.

If a client doesn't check in and no one marks them as present, the system will:

  • Email them a reminder after the session starts.
  • Apply a no-show charge automatically if your gym has enabled that rule.

Staff check-in

Trainers and admins can see a green tick on the timetable next to clients that have checked-in. They can manually check in clients from the client's profile if needed. On the class page, each client will have a Check in button beside their name if they haven’t already scanned in.

This is useful if a client forgets to scan the QR code, or if you'd rather do check-in manually as part of your process.

No-show rules

When no-show charges are active, the system will deduct a credit if a client fails to check in.

The check-in system helps automate this process while giving staff flexibility to override it when needed.
